Welcome to the Gathering by Chartwells! Our mission is to provide you with exceptional quality and service with a creative and enjoyable culinary experience. Our professional staff is available to assist in planning your special event Monday – Friday 8:00am - 5:00pm. Please contact our catering coordinator Cathy Garza at 210-431-3976 for customized service and menus.
To ensure optimal selection and the best possible service we kindly ask that events are booked at least seven business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs. Please remember that events booked less than five business days prior to the event may cause limited menu selections and events booked less than three full business days prior are subject to a $50 pop up fee.
We kindly request that the number of guests be specified five business days prior to the event. The guest count number that we have three business days prior to the event will be considered the final, confirmed guaranteed guest count for billing purposes and cannot be reduced. Any increase in the guest count within three business days prior to the event may potentially not be fully accommodated.
Events are billed in two-hour increments and events exceeding a four-hour limit will be subject to additional service fees.
We kindly request that all cancellations be made in writing five business days prior to the contracted event date. If OLLU is closed or an event cannot be held due to inclement weather all events will be cancelled at no charge to the client.
All disposable service ware will be furnished as a accompaniment to all items purchased. Some exceptions apply to orders being picked up. We will provide high quality disposables. Where china fees are applicable, including silverware, salad/entrée/dessert plates and glassware, if necessary, a $2.00 per person fee will apply.
Please provide proof of tax-exempt status by email to our office 3 business days prior to the event.
A form of payment (purchase order or credit card) is required three business days prior to the event date. We ask that contracts be paid in full within 2 business days following the event. Non-university and affiliated/off campus programs require a 50% deposit with completed (signed) contract. The remainder is to be paid prior to the event.
Special diets are accommodated upon request, we kindly request that your needs be submitted no later than 5 business days prior to the event.
Please reserve all equipment, including tables and linen by contacting OLLU. This includes linen for food and beverage tables. This will include room reservations, set up and room configuration, audio visual, and other general information. We request access no less than 30 minutes prior to the event. Larger events may require additional set up time. Client is responsible for proper arraignments for set up of all tables and chairs for the event.
Due to Health Department regulations, it is the policy of Chartwells Catering that excess food cannot be removed from the event site. Items purchased for pickup should be properly stored by the client when picked up until use.
